Managing customers

Every time a customer places an order in your SHOPLINE store, their name and information appear on your customer list. You can see and manage all your customers on the Customer page in your SHOPLINE admin. From there, you can add, edit, delete, filter or search for a customer profile, and see all orders placed by a specific customer. If you want to give discounts to a specific set of customers, you can create a customer group.

Adding customers

You can add customers in bulk by importing them to your existing SHOPLINE store. For example, if you’re a retail store that is just starting to use E-commerce, you can add your existing customers to the customer list in your online store. 

Once your customer is added, you can add them to a customer group (loyal customers, wholesalers, etc) and send them email marketing email discounts for their online purchases.

To import customers:

  1. From your SHOPLINE admin, go to Customers.

  2. Click on Import > import locally.

  3. Download Template.

  4. Enter customer information in the template.
    • Fields marked with an asterisk are required fields.
    • Please enter at least one of the contact information: email or mobile phone number.
    • When entering the mobile phone number, please enter the international code (e.g., +61 for Australia).
    • Field length: Check whether the fields have exceeded the limits according to the limited length of each column ("XXX field has exceeded the limits for xx characters, it can not be imported.")
    • Process for repeated data:
      • An error message will appear in the column for redundant mobile phone number/email: "Error has been recorded: A user already exists with the mobile phone number/email."
      • The system will not check for redundancy in other data fields.

 


 

Editing customers

You can change an existing customer profile to update their information. 

To edit a customer’s information:

  1. From your SHOPLINE admin, go to Customers.

  2. Click on the customer you want to make an edit.

  3. On the customer page, you can change a customer’s:
    • Name
    • Email address
    • Contact number
    • Birthday
    • Shipping address
    • Tag
    • Edit subscription email

  4. Click Update to confirm your changes.

 

Bulk Edit Customers

You can use bulk editing to edit multiple customers' information together.

You can select more or all of the customer information in the store by the following methods:

  • To edit multiple customer information separately: Select each customer information you want to edit > click the checkbox in front of the customer name > click [Bulk Edit]
  • To edit a customer's profile in a group listed on the page: Select the specified group >  select the customer you want to edit or all the customers > click [Bulk Edit]
  • Edit the customer information after searching or filtering > select the customer or all the customers you want to edit after searching or filtering > click [Bulk Edit]
  • Edit all customer profiles in your store > make sure you select the customer group of All customers > click the check box in front of Name > click [Bulk Edit]
  • Edit all customers in a group > select the specified group > click the check box in front of Name after > click [Bulk Edit]

Detailed steps:

  • After selecting customers in the above way > click [Bulk Edit] or select all xxx customers or select xxx customers in the group
  • You can modify the following information on the Batch Edit page:
    • First Name
    • Last Name 
    • Label 
    • Email Subscription status
  • Click [Select fields] in the upper right corner to un-display certain fields
  • After editing > click [Update]

 

Bulk Update Tags

You can use [Update tag] to edit multiple customer tabs at the same time.

You can select more or all of the customer information in the store by the following methods:

  • Edit multiple customer labels individually > select each customer you want to edit > click the check box in front of the customer name to select it > click [Update tag].
  • Edit the customer labels in the groups listed on the page > select the specified group > select the customer you want to edit > click the [Update tag].
  • Edit the customer tags after searching or filtering > select the customer or all of the customers you want to edit after searching or filtering > click the [Update tag].
  • Edit all customer labels in your store (make sure you select the customer group of All Customers) > click the checkbox in front of Name.
  • Edit all customer labels in a selected group > click the checkbox in front of Name after selecting the specified group.

Detailed steps:

  • After selecting the customer in the above way > click [Update tag], you can choose to add or delete tags.
  • Add tags: Select the tags you want to add in bulks for customers in the pop-up window and click [Confirm].
  • Delete tags: Select the tags you want to delete for customers in bulks in the pop-up window > click  [Confirm].
  • After editing > check all the tags for that customer on the customer details page.

 


 

Searching and filtering customers

Use the Filter bar on the Customers page to search for customer names and emails or filter all the customers that match one or more criteria.

To filter customers:

  1. From your SHOPLINE admin, go to Customers

  2. Search for a full name or email address or select the filter and conditions you want. 

Now you can see customers that match your filters. You can move between pages if there are multiple pages of results. 

 


 

Exporting customers

You can export the whole of your customer list to a CSV file. Exporting (and importing) customer data is the fastest way to update existing customer information or add new customers in bulk. 

For example, you want to get a list of customers who are allowed to send them promo/marketing emails. 

To export specific customer list:

  1. From your SHOPLINE admin, go to Customers.

  2. Filter to customer's status email subscription status to Subscribed.

  3. After filtering, click on Export.

After exporting, a CSV file will be sent to your inbox. You can use the email addresses from the exported file with our email marketing app - SmartPush or the service of your choice.

 


 

Adding customers to groups

From the Customer page, you can add any customer from the list to any existing customer group. Customer groups will allow you to organise your customers into groups by different criteria (e.g VIP customers, new customers, abandoned customers, etc.).

To create a customer group:

  1. From your SHOPLINE admin, go to Customers.

  2. Click on a segment and Add new group.

  3. Select the filter for the new Customer group. For example, in this customer group, you want customers who are subscribed and spend more than $200 in your store.

  4. Click Complete after you select the filter.

  5. Click on Save groups and rename the group.

Now you can sort your customers into groups. To add or remove a customer from a group. 

  1. From your SHOPLINE admin, go to Customers.

  2. Perform a filter on your customer list.

  3. Select a customer group.

Deleting customers

You can delete customer profile records from your store anytime. Deleting a customer account will not remove the order records the customer(s) has placed, and those records are still accessible from the order page.

You will only be allowed to delete the customer’s personal data, and only after 30 days you can delete the customer’s profile.

 

To delete a customer account:

  1. From your SHOPLINE admin, go to Customers.

  2. Perform a filter on your customer list.

  3. Select the customer.

  4. Click Delete personal data, then click Delete to confirm your action.

You can delete customer accounts in bulk by checking more than one customer at a time. 

To delete a customer account in bulk:

  1. From your SHOPLINE admin, go to Customers.

  2. Perform a filter on your customer list.

  3. Bulk select the customer.

  4. Click Delete to confirm your action.

Blacklisting customers

You can always block certain customers from ordering from your store. For example, you can only sell your products to a certain country and prevent spam orders.

To blacklist customers:

  1. From your SHOPLINE admin, go to Customers.

  2. Perform a filter on your customer list.

  3. Select the customer.

  4. Click on Add to blacklist.
